The ACA warmly invites you to submit abstracts for consideration at this year’s premier event, ACA2025. Understanding the ACA’s Abstract Process

The abstract submission process for the ACA annual meeting spans six months, beginning on February 1, 2025, when the abstract portal opens for both oral and poster submissions. The portal closes for oral abstract submissions on March 31, 2025, but remains open for poster abstracts.

During this initial phase, SIG officers review all abstracts submitted by March 31, including poster submissions, to identify the SIG’s Etter Award winners. Oral abstracts are evaluated alongside poster submissions for these awards. Poster abstracts that win an Etter Award are given the opportunity to deliver an oral presentation as part of their recognition.

After the Etter Award winners are selected, session chairs receive a comprehensive list of abstracts assigned to their sessions. This list includes Etter Award winners, as well as invited and contributed talks. Session chairs organize the schedule for their sessions, determining the order and timing of presentations. At least 40% of the talks in each session must come from contributed abstracts. Session schedules must be submitted to HQ by a designated deadline and any oral abstracts not included in specific sessions are reassigned to the General Interest session. Once the session chairs of General Interest have organized their sessions, the entire program is approved by the Meeting Committee and notifications of talk tims and session assignments are sent to presenters by ACA HQ through the Oxford Abstract System on or about April 29, 2025.

Abstracts not selected for oral presentations are automatically considered for poster presentations. Poster chairs finalize the list of poster presenters, including all submissions received by April 30, 2025. HQ sends the first round of notifications and poster upload instructions to presenters around May 9, 2025. Poster chairs will continue to accept additional poster submissions until the final deadline of June 16, 2025, with a second round of notifications sent to poster presenters thereafter.

This process ensures a fair, organized, and transparent system for evaluating and assigning presentations, fostering high-quality contributions to the ACA annual meeting. By providing multiple submission opportunities, reviewing abstracts rigorously, and balancing oral and poster presentations, it guarantees diverse representation, equitable opportunities for recognition, and a well-structured program.

Abstract Submission

The ACA will once again use the Oxford Abstracts system for abstract submissions in 2025. To submit your abstract, you must first register an email address with the Oxford Abstracts system. Once registered, you’ll gain access to a dashboard where you can submit or update your abstract.

Please note that some local firewalls may block access to the submission website. If you encounter issues, try accessing the site from a different device or ensure that Oxford Abstracts is added as a ‘Trusted Sender’ in your network settings.

There are no submission fees; however, submission guidelines and deadlines will be strictly enforced. Additionally, you must be registered for the meeting before submitting your abstract.

Abstract Policies

When submitting an abstract to the ACA, it is essential to follow the established guidelines to ensure your submission is properly reviewed and considered for inclusion in the program. These policies are designed to maintain the highest standards of scientific integrity, foster inclusivity, and support the advancement of structural science research. Adhering to these guidelines will help ensure your abstract aligns with the expectations of the ACA and contributes meaningfully to the broader structural science community.

Each abstract submission must be accompanied by a corresponding paid registration.

Abstracts for invited presentations must be submitted in the same manner as those for contributed papers and are subject to the same applicable abstract deadlines.

All submitted abstracts will be included in the program. However, the session chairs and the Meeting Committee will determine the mode of presentation, either oral or poster.

Incomplete abstract submissions will not be considered.

Presenting authors must be ready to deliver their presentation in person and should be listed as the first author. Please ensure the 'Presenter' box is selected during submission. Note that the ACA is a live, in-person event, and remote presentations via video conferencing platforms are not permitted.

It is the author's responsibility to carefully review their abstract for accuracy, including spelling, grammar, completeness, and avoiding duplicate content, before submission. Please note that the ACA does not edit abstracts, and they will be published exactly as submitted.

If your abstract is selected for an oral presentation, please note that the presenting author will be allowed to deliver a maximum of ONE oral presentation within the main program. However, a second presentation may be permitted if it is part of what is designated as an 'educational session.' If you are submitting a second abstract for an educational session, please notify the Meeting Committee to ensure proper scheduling and consideration. This policy ensures a diverse range of speakers and topics while accommodating additional contributions to the educational components of the program.

To submit an abstract for ACA2025 using the Oxford Abstracts system, start by clicking on the link below to access the Oxford Abstracts portal. If you are a new user, create an account by providing the required details; otherwise, log in with your existing credentials. Follow the prompts to fill in the required fields, including the title, author details, and abstract content. Upload any supplementary materials if required, review your submission for accuracy, and finalize by clicking "Submit." You will receive a confirmation email upon successful submission.

All accepted abstracts will be featured in full on the Conference website and in the abstract booklet, with the possibility of further publication. By submitting your abstract, you grant permission for its publication.
